Overview
Adding content to a project involves selecting your content source, choosing the fields to include, and configuring the field settings. Follow the steps below to add records and data from various sources to your project.
1. Create or open a project
Click Create Project to create a new project, or open an existing project by clicking the project name in the Name column. If you are creating a new project, provide a name and description, then click Create.
Learn more about the types of projects that can be created and how to do so in Create a project.
2. Go to Settings
If you created a new project, the Settings screen will appear next. If you opened an existing project, select Settings from the left sidebar.
3. Open Manage Content
4. Add content
Click Add Content at the top left. You can add content by selecting Upload Spreadsheet or Other Source, which allows you to add data from a third-party tool such as iSearch.
Both options have a limit of 200,000 records.
|
Important: If is not advised to use Manage Content once you have added records to your project, unless you need to add additional records or replace field values for the records uploaded previously. If you have to perform subsequent uploads of another spreadsheet, keep the following in mind:
|
If you already have records that have been uploaded, you will see this warning message when choosing Add Content.
Spreadsheet option
Other Source option
Select iSearch to add records using a search URL. Paste the URL into the provided field and, if desired, make the search Dynamic to automatically add new records that meet the search criteria. Click Add after entering the search URL.
To add another search URL to the project, select iSearch from the Source dropdown again and repeat the process. When you have finished adding URLs, click Add and Close.
Note: Adding multiple URLs at the same time allows you to select the relevant fields and data across all sources at once. This can also help prevent previously uploaded data from being removed when content from different sources is added separately.
5. Reviewing uploaded content
If the upload was successful, your spreadsheet or iSearch search will appear in the list of added content. You can change an iSearch URL to Dynamic at any time so that new records meeting the search criteria are automatically added to the project. Spreadsheets cannot be made Dynamic.
6. Selecting fields
For both uploaded spreadsheets and iSearch searches, click Next at the bottom of the window. Then select the fields you want to include in your project.
Selecting fields for multiple uploads
When adding multiple URL sources, fields previously selected on the Included Fields screen will remain selected for subsequent URLs. Fields that appear in more than one source will not be duplicated. After adding all URLs or sources, click Next to review and select the fields you want to include across all sources.
Important: When uploading a new spreadsheet, make sure it includes all data and fields previously uploaded to the project. If previously uploaded data is omitted from the new spreadsheet, it may be removed from the project.
7. Check field settings
Review the field type and corresponding options for each selected field (see below for more details). If you make any changes, Save will become active. Click Save to proceed.
iCode automatically assigns field settings, but you may need to make adjustments based on how you plan to use the data. For example, Appl ID is set as a number by default, which works well when exporting data to Excel. However, in Search Assist, a numeric field will appear as a range. If you plan to use Appl ID in Search Assist, consider changing the field type to Short Text so you can select individual Appl IDs.
See below for more information about field types:
-
Yes/No
Use for binary or Boolean values, such as Yes/No. For migrated portfolios, existing True/False values will be converted to Yes/No. The default value for a Yes/No field in iCode is blank.
-
Number
Use for numerical values with or without decimals. This includes numerical values without dashes, such as a year.
-
Short Text
Use for short-text values, such as topic labels, conditions, or other categories. The field limit is 256 characters.
-
Long Text
Use for fields containing multiple sentences or longer text, such as abstracts. Fields configured as Long Text cannot be made filterable. There is no character limit for Long Text fields.
-
Date
Use for numerical date formats, such as 01-01-2026 or 26-01-01. Other date formats, such as January 1 or 2026-01-01, should be configured as Short Text. A year by itself should be configured as a Number.
-
Decimal number
Use for numbers that require decimals, such as RCR.
-
Link
Use for fields containing hyperlinks, such as a Source link or other links included in an uploaded spreadsheet.
Options
- Filterable: Select Yes to make the field filterable. Long-text fields cannot be used as filters. Filtering works best with categorical fields, allowing you to easily view records that share a specific field value.
- Multi-Value: Select Yes to allow the field to contain multiple values. This is useful when a record may fall into multiple categories or when you want to separate entries for easier review. For example, Cancer; Cardiovascular; Metabolic can be treated as a single value or, when Multi-Value is set to Yes, as three separate values. This allows you to select or filter by an individual value, such as Cancer.
Default settings
The following settings are not configured during field setup but are included here for reference. These settings can be changed later in Modify View.
- Searchable: By default, coding fields are searchable and exportable, so you do not need to change these settings.
- Field Order: By default, coding fields appear in the order in which they were added. To change the order, drag and drop the field boxes into the desired order. Once you have completed the upload and set up, fields will be displayed in the same sections as seen in iSearch when viewed in Record view, Search fields or Export. You can add additional sections in Manage Sections.
-
Table View: The fields available in Table View depend on their field types. Long Text fields, such as Abstract, cannot be displayed in Table View. By default, a selection of fields is displayed based on common use cases, including filterable and short-text fields.
You can change which available fields are displayed in Modify View. If a field is configured as Long Text, the option to display it in Table View will be disabled. If Long Text is not the appropriate field type and you need to display the field in Table View, you may be able to change its field type in Manage Content.
8. Save settings
Once you have finished reviewing and editing the field types and options for each field, click Save at the bottom of the screen.
9. View data in the project
Once you have added your data and configured the fields as needed, you will return to the main project screen. Select Results Table, Filters, or Charts from the left-side panel to view and explore your data.
