Upload Record Codes (Additional Data)
Overview
Use the Upload Fields feature in Table View when you want to add information to records that are already in your project or portfolio. This feature can be used to upload:
- User Codings: Coding data associated with existing records. You can upload your own coding or, if you are a Manager, coding completed by others.
- Record Codes (Additional Data): Additional data, classifications, or flags associated with specific records. These values are not editable within iCode.
Note: Upload Fields is intended to add information to existing records, not to add the source records themselves. Source data or records should first be added using Add Content under Manage Content, typically when creating a project.

Set up data to upload
First, set up the spreadsheet containing the codes you want to upload. The column headers must exactly match the field names in the project and are case-sensitive.
The ID column header you use depends on the source of your project data. If your project was created using an iSearch URL, use System ID as the column header. For external or RFI data, use the exact name of the ID field from your source data.
If the field you are uploading uses a predefined vocabulary, the code values must exactly match the available vocabulary options.
Upload User Codings
Within your project, click Upload Fields. The first tab is User Codings. A list of coding fields will be displayed. You can use this list to confirm that the field names in your spreadsheet match the coding fields in the project. Click in the upload area or drag and drop your file to upload it.
After the file uploads, the system will indicate which fields in your file match fields in the project. You may need to scroll down to see this information.
Use the dropdown to select the user whose codes you are uploading.
Click Apply after making your selections. A notification will appear with additional information.
Close the push notification. Once the bell notification updates, open it to confirm that your codes were uploaded successfully.
If the codes were uploaded successfully, close the notification and click Reset Search to view the codes in Filters and Record View.
Go to Filters to view the uploaded data if the fields have been configured as filterable.
After filtering, go to the Table and select a record with uploaded codes to view the data in Record View.

Set up data to upload
First, prepare a spreadsheet containing the Record Codes (Additional Data) you want to upload. These should be new fields that do not already exist in the project, as they are intended to add supplemental information or tags to records.
You can use any name for these fields. Once uploaded, the additional data will appear in the left panel of the record alongside the existing source data.
The ID column header you use depends on the source of your project data. If your project was created using an iSearch URL, use System ID as the column header. For external or RFI data, use the exact name of the ID field from your source data. If a field uses a predefined vocabulary, the values must exactly match the available vocabulary options.

Within your project, click Upload Fields. Select the second tab, Record Codes (Additional Data). Click in the upload area or drag and drop your file to upload it.
After the file uploads, the system will display the fields to be uploaded along with their field types. Use the dropdowns to modify the Field Type, Filterable, and Multi-Value options as needed.
Click Apply after making your selections. A notification will appear with additional information.
Close the push notification. Once the bell notification updates, open it to confirm that your data was uploaded successfully.
If the data was uploaded successfully, close the notification and click Reset Search to view the data in Filters and Record View.
Go to Filters to view the uploaded data if the field has been configured as filterable. You can use the selection bar at the top to deselect all fields and only select the newly uploaded field/filter.
After filtering, go to the Table and select a record with the uploaded data to view it in Record View.
In Record view, you can use the Jump to Section option at the top to jump to view these newly uploaded Record codes.
