Upload Record Codes (Additional Data)
Overview
Open the project you wish to upload/add additional data or curations to. Note: You should have already added source data/records using the Add Content button (under Manage Content as the first step in creating a project) before using the Upload Data feature. Go to the Results table and you will find the Upload Data button under the search bar. You can use this button to:
- User Codings: Upload coding for yourself (or others if you are a Manager)
- Record Codes (Additional Data): Upload additional data/flags for a particular record (non-editable in iCode)
See more on coding in the How to Code tutorial.
Upload Data
User Coding
Set up data to upload
First, set up your spreadsheet of codes to upload. The headers must be the exact field names (case sensitive) found in the project.
The ID depends on the source data. If your project is sourced from an iSearch url, use System ID as the ID header. If your project is external/RFI, use that exact ID name as the column header. Code options must also match vocabularies if the field being uploaded has a vocab.
Upload User Codings
Within your project, click on Upload Data. The first tab will be User Codings. A list of coding fields will be displayed, which you can copy and paste from to your spreadsheet. Click in the rectangle or drag and drop to upload your file.
After the file uploads, the system will tell you which fields matched what is in your project. (You may need to scroll down to see this.)
Click on the dropdown to select who you are uploading codes for.
Click Apply after you have made your selections, and a notification will show with instructions.
Exit the push notification and open the bell notification once it updates to ensure your codes have uploaded successfully.
If they have, close this window by clicking out of it and click on Reset Search and you can view the codes in the Filters and Record view.
Go to the Filters screen and you should be able to view the uploaded data here (if you've selected it to be Filterable).
After filtering, click on the Results table and a record with the uploaded codes to view your data in Record View.
Upload additional data (Record Codes)
Set up data to upload
First, set up your spreadsheet of record codes (additional data) to upload. Fields should not match what is in the project as this field is for the entire record as an additional tag, which will show in the left panel of the record, alongside any other data from the source. The name of the field can be what you wish.
The ID depends on the source data. If your project is sourced from an iSearch url, use System ID as the ID header. If your project is external/RFI, use that exact ID name as the column header. Code options must also match vocabularies if the field being uploaded has a vocab.
Upload Record Codes (Additional Data)
Within your project, click on Upload Data. Go to the second tab called Record Codes (Additional Data). Click in the rectangle or drag and drop to upload your file.
After the file uploads, the system will display the fields to upload, along with the field types. Click on the dropdown and make modifications to the Field Type, Filterable and Multi-Value options as needed.
