Background
- iCode facilitates the manual coding of a project, whether this is a portfolio of grants or RFI data. Coding can be shared amongst multiple curators reviewing separate records or multiple curators reviewing the same record. Once curators have been assigned and coding fields are set up by the owner of the project, all fields will appear in the Filters View and Record View. You can quickly identify the records you need to code based on either whether someone has assigned them to you, or by selecting relevant criteria (e.g. IC or PCC).

Finding your project
- After you have created the project (or had one shared with you), select your project from iCode's home page. You may be sent a unique link that will take you directly to the project; you can bookmark this link.
Once you are in your project, it will preview the name, owner, collaborators, and date last modified. You will find the main menu with the different screen options and Settings to the left.
Modify View
Before beginning coding, you will want to go to Modify View so that you remove unnecessary fields displayed and can focus on those useful to code the record. Note: Only Managers will have this option and the Manager will be setting the fields for all users in the project. Modify Display Fields in record view, along with preferences, will be implemented in the future for users to select and deselect specific fields to view for that session.
- Go to the Settings of your project using the home page of the project of interest. Click on Modify View at the bottom.
In the Record view column, toggle off any field that will not be useful for coding. Click on the Save button after selecting your options. You can also Select or Deselect all once this feature is added to the top of the column or for an entire section. Note that there are fields disabled in the Filter and Table columns, as any long text fields such as Abstract are not logical to make filterable or viewable in the Table.
Click on the Results table on the left hand menu to view records and begin coding.
How to view a record
There are two ways to open a Record to begin coding in iCode. Clicking on the hyperlink in the iCode Record Index column, or clicking on the ‘Start Coding’ button at the top of the screen will open the Record view.
Coding versus Review panel
Once a record is opened, the screen is set up to display the uploaded (not editable) fields on the left hand side of the screen and the added/editable coding fields on the right.
The left side contains the limited fields you have selected previously in Modify View. If you have added any highlighting (feature pending), that will also be viewable in the uploaded fields of record view to assist you in coding/seeing keywords in context.
The right hand side contains Coding data. By default, you will be in the Coding view where you will only see your coding fields which you are able to edit. If you toggle to ‘Review’, you will see other coders’ responses as well. Typically, it is best to code blindly so you can make an independent decision on the record. But if you are asked to compare codes, the ‘Review’ section can provide you this data.

*Note: You can also edit fields you wish to see within each record (feature pending) using the Modify Display Fields button to be displayed in real time, but not save changes for future viewing.
Coding Options
1. Assigned Coders – use filters or unique url
If you have been assigned records to code, you will be able to see your coding assignment within the project and/or received a unique, individualized coding link from the Owner/Manager of the project. See the Assigning Coders tutorial to learn how to view ‘Coder’ and ‘Completed Coding’ filters. See how to code your set of records below.
2. Random coding/individual record coding
Clicking on the hyperlink in the iCode Record Index column, or clicking on the ‘Start Coding’ button at the top of the screen will open the Record view. Review the steps and guidance in how to code your set of records below.
3. Apply Filters – Individually identify the records you need to code
- Click on Filters in the side panel
- By default, all coding fields will be shown in the Filters screen.
You can use the dropdown Filters bar at the top to remove fields you do not require to see, such as other coders’ fields. You can also add or remove other potentially helpful fields that may be shown as filters here too.
- Ensure the following fields are viewable and select:
- Coder Name filter – Your name
- Coding fields to complete – These will have your email at the end of them
- Completed filter – “No”
- You can also use other filters such as Admin IC, Activity Code, or any other data you have uploaded and show as a filter to generate a subset to code
- The project will now be focused on only the records that you need to see.
Coding your set of records
Click on ‘Start Coding’ at the top of the screen. You should also see breadcrumbs indicating the filters you have added.

- To code:
- Be sure you have met with your team if necessary, and determined criteria for coding fields beforehand. If you are coding with other individuals and have a kappa (test) set, this is especially useful.
- Review the necessary data (e.g. title, abstract and specific aims to answer questions about research topics and content) to determine answers to the questions you are to code.
- If there is a dropdown box (assigned vocabulary) for the coding field, select from the dropdown. This may allow you to select more than one. The answer selected will automatically be saved
- Those who set up the project may have used the highlight functionality (feature pending) in the project tool to highlight keywords, as seen below, to help you code records more easily. These words must be chosen specifically for your project, along with the fields which they have sought to be found in.

Exiting and Returning to a Project
- At any point in time you can exit the project and any coding that you have completed will be saved.
- To recommence coding, follow the instructions outlined above.
- You can always revisit the unique url that was generated when you applied filters, or were sent the assigned url to code.
