To create your own coding/curatable fields click the Create New Field button. A new dialog box will open where you can provide the following information to set up the new coding field.
Overview
There are multiple ways to create coding/curatable fields. You can start by creating new coding fields from scratch or copy from existing coding fields. Keep in mind these are fields that can be coding/curated/edited in the portfolio, which is different than fields that have been uploaded into the tool. Uploaded data/fields are not editable in the portfolio.
Set up new field
- Display Name - display name is how the field will appear within the portfolio
- Field Type
- Checkbox - makes the field a checkbox with boolean values Yes when selected and No when unselected
- Free-Text - provides an input text field for unconstrained free text entries
-
Controlled Vocabulary - Select a value from a predefined vocabulary to apply to records during curation. Select a vocabulary to assign to the field from the dropdown menu when the Controlled Vocabulary button is clicked.
- (pending update) Go To Vocabularies - Use the Go to Vocabularies button to view, edit, or create a vocabulary to use for curations
- Field Options
- Multi Valued - select multi valued to allow the field to accept multiple values. When left unselected the field is single valued by default.
- Show in Table - values added to curatable fields will be displayed in the Results Table. Be aware that if you select this option and your portfolio contains numerous curatable fields and/or several curators the portfolio may be slow.
- Searchable - selecting searchable will add the curatable field to the Searchable Fields dialog and can be selected and searched
- Search by Default - search by default adds the curatable field to the Searchable Fields dialog and automatically selects it to be searched by default
- Field Order - by default, each curatable field is assigned the value -1 and fields will appear in alphabetical order throughout the portfolio. If you wish to provide a specific order for your fields to appear, provide a numeric value, beginning with 1, to define an order for your fields.
Any individual who has coding permissions (Super Curator or Coder) will have a specific box to code for each coding field, which cannot be edited by other users of the portfolio.
Copy Fields From
Alternatively, to copy curatable fields from an existing portfolio to your current portfolio click the Copy Fields From button. A dropdown menu will appear displaying all of your portfolios within the module. Select the portfolio containing the fields you would like to copy to your current portfolio. The ability to copy curatable fields from another portfolio is available to Super Curators and Managers, see Adding Collaborators for more information on available functionality allowed for each role within portfolios.
